When you speak a rep, the recording is written to disk, transcribed on our server, and deleted immediately once the transcript exists. It is not archived, not reviewed, and not used to train anything.
The patient's spoken replies and any spoken model answers are synthesized speech, not a person. Those clips are deleted automatically within 24 hours.
Speech-to-text runs on our own server. Your audio is not sent to a third-party transcription service.
Voice Coach uses Anthropic's Claude API to play the patient and to grade your reps. What we send is text only: the conversation transcript and the grading instructions. We do not send your name, your email, or your audio.
Under Anthropic's commercial terms, that content is not used to train their models.
The only other outbound message we send is an email notification to the account owner when someone signs up or requests access.
Your reps are yours. Nobody else practising on Voice Coach can see them.
The exception is the owner of your team or practice account. If you joined through an invite from an employer or an instructor, that person can see your scores and your trends for every rep, and the account owner can read your transcripts for the drills they assigned you. That is deliberate — it is what lets them coach you. Your free practice is different: the reps you choose to run on your own are private to you. The owner sees that you practiced and how you scored, never what you said.
You can mark any individual rep as excluded so it does not count toward your trends.
Bilanx Dental Systems operates the server and therefore has administrative access to stored data. We look at individual transcripts only to fix a specific problem or when you ask us to.
Most services this size say "AES-256 encryption at rest" and leave it there. Here is our honest position.
The server's disk is not encrypted at rest today, and neither are the nightly backups. Disk encryption protects against a specific thing — a stolen or improperly wiped physical drive, or a leaked disk image. It does not protect a running server, because the key has to be in memory for the application to work at all.
We are telling you this rather than hiding behind a phrase, because everything else on this page is only worth reading if this part is honest too. Encrypted backups and an encrypted data volume are planned before Voice Coach is sold to anyone.
There is no email-based password reset yet. If you are locked out, contact us and we will reset it manually.
Voice Coach is in beta. This page will change as the service does, and the date at the top is the honest one.
Voice Coach is not HIPAA compliant and is not intended to be. It is a communication trainer that runs on invented scenarios with invented patients.
Do not enter a real patient's name, chart number, or any other identifying detail into a rep, a note, or a scenario. If you do, please delete that rep — and tell us, so we can remove it from backups.
The practice-owner product installed locally in a dental office is a different build: on that version, audio and transcripts stay on the office's own computer and never reach this server at all.
